The Opportunity

Sales Administrator

Location: Loughborough

Hours: 8 am to 5 pm – 38 hours a week with a 30-minute lunch break. (There is slight flexibility on start and finish times)

£25,000 Perm role

Benefits: 26 days holiday plus Bank (3 days to be reserved for the Christmas shut down)

The Role:

An experienced Sales administrator with a strong customer focus and attention to detail is required to join our client’s busy sales team. Working in a fast-paced environment you will be dealing with incoming calls, accurately processing orders in a timely fashion, and looking after allocated customers whilst maintaining excellent customer service. To work closely alongside the existing team to ensure KPI targets are met. Team work is essential for this role, but the candidate also needs to be able to operate independently in their own role. You will be supporting the Head of Sales and Area Sales Manager with Sales documentation and processing of sales orders. Ideally you will have a Manufacturing background but it is not essential. You will need to be enthusiastic and enjoy problems solving and use your own initiative when required.

 
Key Areas of responsibility:
 
  • Answering incoming sales enquiries in a timely and professional manner
  • Obtaining the necessary information and re-direct to the Sales Managers
  • Issue enquiry numbers and update databases
  • Issue orders confirmations to customers
  • Raise job files electronically and process orders via the CRM system
  • Update the enquiry log on a regular basis and submit to the Head of Sales
  • Compile and update weekly and monthly sales figures on a weekly basis
  • Raise orders with suppliers and liaise with them to check on existing orders
  • Monitor product lead times and maintaining delivery schedules
  • Arrange deliveries and collection’s with freight forwarders
  • Assist with quotes and technical specifications
  • Support the area Sales Managers with the preparation of tender documentation
  • Maintain updates of the products and delivery status to customers
  • Work closely with the Finance team with raising invoices and creating credit accounts where necessary
  • Keep a status log for orders and keeping everyone informed and updated
  • Monitor and update stock levels
  • Liaising with internal departments and organise customer delivery and returns
  • Organise, track and maintain records
  • Day to day admin support to the Area Sales Managers
  • Assist with standard letters, mail shots and standard quotations
  • Maintain good relationships with customers old and new via telephone and e-mails
  • Maintain the Diary for travel and accommodation planning for the Sales team when required
  • General filing, maintaining records and working to policies and procedures
 

Candidate Requirement:

  • Must have proven customer service background, ideally with phone based and e-mail experience
  • Must have understanding and experience of Word, Excel, and Outlook - Experience of SAP or Sage would be desirable
  • Must have excellent verbal and written communication skills-
  • Must be proactive and highly organised
  • Must have strong time management, planning skills and the ability to multi-task
  • Must be able to work under pressure to deliver a high standard of service
  • Must be able to work accurately and efficiently with data, while maintaining attention to detail
  • Must have the ability to work on own initiative and as part of a team
  • Must be able to plan and priorities workload efficiently and effectively
  • Must be able to work and integrate well with the existing team
