Customer Services Administrator

Coalville

£18,500 rising to £20,000 after probation

Permanent

Full time. Monday to Thursday 08:30-17:00 & Friday 08:30-16:30pm

The Role:
 

To provide strong customer focus and attention to detail within the sales team. Working in a fast-paced environment with an allocated customer portfolio, dealing with incoming calls and queries, accurately processing orders in a timely fashion with an ability to quote on pricing for certain products.  Manage a customer portfolio whilst maintaining excellent customer service. Will work closely alongside the existing team to ensure KPI targets are met. Become involved in team work with a need to also work independently in their own role.

 
Key Areas of responsibility:

  • Over-seeing and being responsible for an allocated group of customers
  • Accurately inputting, processing and over-seeing orders
  • Managing quotations based upon the customer requirements
  • Liaising with factories, customers, and other internal departments
  • Monitoring and coordinating delivery of products to customers
  • Ensuring final invoice prices are correct on all orders
  • Handling of and dealing with inbound calls to the department
  • Calculating prices and providing some technical support on the products
  • Ensuring prompt and accurate filing and archiving of customer orders and correspondence
  • Maintenance of electronic filing systems and associated administration tasks
  • Providing office-based support for customer queries
  • Maintain a professional manner at all times
  • To ensure and maintain the departments targets and KPI’s are achieved
  • Coordinating feedback and escalation of problems to line manager
  • Become involved in continuous improvement and work closely in Commercial on enhancing the overall customer journey
 

The Candidate:

  • Demonstrate strong customer service skills, ideally with phone-based experience
  • Great understanding and experience of Word, Excel, and Outlook
  • Excellent verbal and written communication skills
  • Strong numerical ability to be able to work with prices and technical product information
  • Show pro-activity and be highly organised with strong time management skills
  • Demonstrate strong planning skills and the ability to multi-task
  • Be able to work under pressure to deliver a high standard of service
  • Conscious of own work ethics and work accurately and efficiently with data, while maintaining attention to detail
  • Ability to work on own initiative and as part of a team
  • Plan and priorities workload efficiently and effectively
  • Must be able to work and integrate well with the existing team
  •  Keen to always look at working more efficiently and smarter linking in continuous improvement and change
